OVERVIEW OF THE POSITION:
The Project & Change Manager, Europe role is a key position that takes ownership of the project and change management activities associated with both internal and external projects. The activities undertaken by the Project & Change Manager, Europe may vary between projects according to business need, Client expectations and project complexity. It is a hybrid role that receives work assignments from both Change & Project Management teams to facilitate smooth operations and appropriate levels of project support. This role also serves to ensure successful project outcomes by organizing and controlling project activities through schedule and risk management, maintaining project documentation, taking project meeting minutes, handling queries, as well as managing communications and training.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Managing the end to end project lifecycle, project plans, resources and issue escalation, as well as reporting status and findings to the Senior Leadership Team
  • Responsible for tracking the quality of project management performed for all projects under their responsibility.
  • This individual is responsible for reviewing project deliverables as well as tracking appropriate project metrics
  • Establish, monitor and communicate all schedule-related information as needed to successfully meet key stakeholders project objectives during AgileOne Client Implementation(s).
  • Establish routine, ongoing communication processes as needed to ensure all project stakeholders have current, relevant information.
  • Facilitate fact-finding sessions, conference calls and other communications as needed to lead projects to successful outcomes meeting client business needs and objectives.
  • Consult with Solution Architecture and Technical teams for appropriate technology and process recommendations, including all decisions related to system implementation, configuration, and design.
  • Work with project schedules, contracts, 3rd party vendors, and other divisions of AgileOne
  • Provide account executive and customer point of contact for accountability in problem resolution.
  • Seek advice from Solution Architecture team regarding all client requests for system integration, enhancements, and miscellaneous functional requirements.
  • Coordinating between all the various departments that are involved in the project. Provide support and direction to client stakeholders as needed to remove barriers to project progress
  • Own creation and approval of key project documentation ensuring audit compliance and adherence to GDPR
  • Attendance at project meetings, agenda creation, minute taking and updating project documentation
  • Assist with technology testing and training
  • Assist with creation, translation and communication of documents as necessary
  • Identifying and documenting customer business rules
  • Assist with documenting process flows for automation and process improvement
  • Participate in internal and external Kick Off meetings and implementation discovery calls to obtain program requirements and client expectations 
  • Create the Communications Matrix and documentation in collaboration with the client and internal team 
  • Participate in system user acceptance testing as required
  • Create training agenda, materials, and lead client services training sessions as requested
  • Work with onsite teams to develop and train on practical standard operating procedures, and/or technologies
  • Facilitate surveys, compile results, and provide analytical feedback for such reporting
  • Acts as an escalation point for account questions during hypercare phase of projects
  • Provide implementation go-live training & support

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily, in a fast paced environment.

JOB EXPERIENCE REQUIREMENTS:

  • Proven work experience within a project or change management environment highly desirable
  • Experience of working with project tracking technology or willingness to learn
  • An ability to prepare and interpret flowcharts, schedules and step-by-step action plans
  • Excellent attention to detail and organizational skills, including multitasking and time-management
  • Proven experience in business writing and preparing documentation
  • Strong teamwork skills
  • Good ability to engage stakeholders across various levels of seniority

EDUCATION REQUIREMENT:
Bachelor’s degree (B. A.) (or equivalent) or equivalent combination of education, experience and training.

LANGUAGE/COMMUNICATION SKILLS (written & verbal):

  • Must be fluent in English; any other language skills desirable
  • Ability to capture minutes and actions from meetings in English
  • Ability to read, analyse, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations in English.
  • Ability to present information effectively and respond to questions from groups of managers, clients, customers, and the general public in English.
  • Ability to communicate with multi-level client contacts and all internal contacts in a clear and professional manner in English.

COMPUTER/SYSTEM SKILLS REQUIREMENTS:

  • Working knowledge of computers including Windows environments, email, and the internet. Proficiency with MS Office applications including Excel, Word, PowerPoint, Outlook, Project and Visio. Ability to quickly learn proprietary technology.
