OVERVIEW OF THE ROLE: Support operations at our client locations by assisting client managers, staffing partners, and contingent workers in the day-to-day operations of our MSP/VMS programme. Utilizing the AgileOne Vendor Management Tool, AccelerationVMS (or other external VMS systems), this position will maintain an organized process for sourcing and engaging contingent workers, in addition to the up keep of system integrity and accuracy of our specific programme technology. Assist the Management Team with administrative programme duties, in an environment where you must be able to multi-task. Contribute to the professionalism of AgileOne by consistently providing a high level of customer service to the client, suppliers and contingent work

  • Act as liaison between Client and suppliers on requirement issues while maintaining the integrity of our Service Level Agreements (SLAs)
  • Organizing client and supplier training on VMS operation and functions, set up new client users, embedded workers, job titles, and other system data elements as needed
  • Monitor requisition approvals from business group leaders
  • Ensure job requisitions have adequate candidates submitted by the suppliers and are filled in a timely manner.
  • Screen candidate CVs as needed, for skills match and quality, ensuring compliance and short list submissions for manager’s review
  • Quickly identifying difficult-to-fill positions, organizing intake-calls to provide more information about the specifics of a given position
  • Coordinate candidate interviews with managers, as needed.
  • Document/contract signature on behalf of the client/AgileOne if required.
  • Follow up on new contingent worker on-boarding requirements and coordinate with suppliers and client managers as needed
  • Ensure VMS is set up with supplier markups within their contractual guidelines
  • Manage weekly timecard approval process and troubleshoot any issues
  • Coordinate and ensure the timely delivery of reports to the client or suppliers
  • Act as point of contact for administrative systems tasks between Client, staffing partners, and Corporate IT Team
  • Collaborate with corporate billing to ensure the timely delivery of invoicing, by completing all tasks involved in the invoice process by the approved deadlines
  • Providing support in solving billing or contract enquiries and issues
  • Identify and communicate process improvement opportunities to programme management
  • Assist internal AgileOne teams with supplier set up for new accounts if required
  • Provide user training to Client and staffing partner users as needed
  • Ensure project documentation (like individual hiring agreements, screening documentation etc.) is updated and archived weekly and can be retrieved for audit, review, and legal purposes
  • Perform project administrative duties including managing group inboxes, maintaining SOPs and training and compliance documentation
  • HR related issues for AgileOne employed workers where applicable
  • Other duties and special projects as assigned

JOB EXPERIENCE REQUIREMENTS: 

  • Proven experience within the staffing industry, i.e. recruiting, HR, coordinator, supplier management, or other client relationship management
  • Well rounded business acumen – pre experience from the MSP industry will be an asset
  • Knowledge of labour and employment laws – in EMEA region is an advantage
  • Excellent written and verbal communication skills
  • Ability to analyze, and interpret general business periodicals, or governmental regulations
  • Ability to pull/downloading reports, write business correspondence, and procedural manuals
  • Ability to present information effectively to the client, groups of managers and/or suppliers

EDUCATION REQUIREMENT: Bachelor’s degree (B. A.) (or equivalent) or equivalent combination of education, experience and training.

LANGUAGE/COMMUNICATION SKILLS (written & verbal): 

Must be fluent in English; any other language skills desirable

  • Ability to read, analyse, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
  • Ability to create more advance reports using Exago will be an advantage, business correspondence, and procedural manuals.
  • Ability to present information effectively and respond to questions from groups of managers, clients, customers, and the general public
  • Ability to communicate with multi-level client contacts and all internal contacts in a clear and professional manner

COMPUTER/SYSTEM SKILLS REQUIREMENTS: Proven knowledge of computers including Windows environments, email, and the internet. Proficiency with MS Office applications including Excel, Word, PowerPoint, Outlook, Project and Visio.  Ability to quickly learn proprietary technology. ERP/VMS experience will be a plus. None required

PHYSICAL DEMANDS: Office or home office-based role with associated lifting of minimal equipment, sitting / standing, repetitive actions.
